When I took over purchasing in 2020, I thought the hardest part would be finding the lowest price. It wasn't. The hardest part is that the same words mean different things to different sales reps, and nobody's product works unless you order the right version for the right situation. I now buy PPE and safety gear for around 400 employees across 3 locations, roughly 70 orders a year, and I learned most of this by making expensive mistakes.
This isn't a generic product review. It's a scenario guide. Here's the shortcut: if your request looks like '3M masks N95,' go to Scenario A. The three questions I ask before every safety order
- What is the hazard, exactly? Dust? Impact? Splashes? Someone who might hurt an employee? Each hazard points to a different product category.
- What does the law or the company standard require? If OSHA requires fit testing, a box of disposables isn't the whole answer.
- Who will use this, and how much training do they really have? A complicated device won't work just because it's well designed.

The difference comes down to the active ingredient. The original Mace was a tear gas formula containing CN (or in some versions, CS). Pepper spray is based on OC, or oleoresin capsicum, the same stuff that gives chili peppers their heat. Today, the word 'mace' is used loosely, and some products called Mace are actually pepper spray. So read the label for 'OC' or 'CN/CS' before relying on it. The two can feel different when someone is sprayed: OC causes intense burning and inflammation; CS irritates the eyes and respiratory system more broadly. Wind, indoor spaces, and law enforcement use may affect your decision. In some places, these products are regulated or restricted, so verify local rules before buying.
For a business, the bigger issue is policy. Do you want an employee to carry spray as part of customer-facing work? Have you made the reporting and medical response plan clear? A spray can be a useful layer, but it's not a substitute for de-escalation training or a safe environment. I keep this section deliberately short: when the answer is product-specific, the product spec sheet is where you start. When the answer is policy-specific, a canister won't solve it.

- Ask what's not included. The quote might show a great price per unit and hide the fit test supplies, training, shipping, or disposal costs. I've learned to ask that question before asking how much, because the transparent vendor who lists all fees upfront usually costs less in the end.
- Test before scaling. A sample boot, a trial respirator, a small spray order—test it with the actual people who'll use it. This adds time but removes the expensive kind of surprise.
The most frustrating part of this job isn't the work. It's that the same item name can mean completely different products to different suppliers. You'd think a written spec would prevent that, but interpretation varies widely. So my final rule is simple: route every safety order through a written requirement, not a brand preference, and keep the authority's requirement in the file.

I don't believe in paying extra just to say I bought a premium brand. But I do believe the lowest quote is often the most expensive choice, because someone pays for the missing pieces later.
